About this policy
This policy explains how PS Pest Control Sdn Bhd (“we”, “us”) collects, uses and protects information in the PS Pest Control Sdn Bhd business system (the “System”). The System is an internal tool used by our staff and technicians to run jobs, service reports, stock, invoicing and customer records. Only people we have invited can sign in.
Information we collect
When you sign in with Google, we receive from your Google account:
- your name, email address and profile picture, used to create and identify your account;
- access to your Google Calendar, only if you use the scheduling features (see below).
Inside the System we also store the business information staff enter, such as:
- staff and technician details (name, contact details, role, skills, certifications);
- customer and site details, enquiries, contracts, jobs, service reports and photos;
- stock, equipment, purchase orders, quotes and invoices;
- an activity log of changes made in the System, with the user who made them.
How we use Google user data
We use the information we receive from Google only to provide the System’s features to you:
- Sign-in: your name, email and picture identify you and show who did what in the System.
- Google Calendar: when you use the scheduling features (for example booking a meeting or interview), the System shows your upcoming events and free/busy times so you can pick a slot, finds an existing meeting you search for, and creates the new event (with a Google Meet link where requested) on your calendar. Your other calendar events are fetched only when you open these screens and are not stored; for meetings the System books, it keeps the meeting time and Meet link on the related record.
PS Pest Control Sdn Bhd’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. In particular, we do not:
- sell Google user data or use it for advertising;
- use Google user data to develop, improve or train generalised AI or machine-learning models;
- let people read Google user data unless you ask us to (for support), it is needed for security or legal reasons, or the data is aggregated and anonymised.
Sharing
We do not sell personal information. We share it only with service providers that run the System for us, and only as far as each needs to do so:
- our hosting and database providers, which store the System's data;
- Amazon Web Services, for file storage and sending email;
- messaging providers, for SMS or WhatsApp messages the System sends to customers;
- Google, for sign-in, Calendar and the System's AI assistant (which answers staff questions from System data, not from your Google account data).
We may also disclose information where the law requires it.
Storage and security
Data is stored on secured servers. Access to the System requires an invited account, connections are encrypted (HTTPS), and what each person can see depends on their role. No system is perfectly secure, but we take reasonable steps to protect your information.
Retention and deletion
We keep account and business records for as long as they are needed to run the business and meet legal and accounting obligations. When your account is removed, you can no longer sign in, and the Google access tokens linked to it stop being used.
You can withdraw the System’s access to your Google account at any time from your Google Account permissions page. To ask for a copy of your data, a correction or deletion, email info@pspestcontrol.com.
Changes to this policy
We may update this policy. The “Last updated” date above shows when it last changed.
